  • Develops and/or maintains databases, distribution lists, mailing lists and filing systems
  • Prepares and tracks expense reports and purchasing requests for supplies
  • Manages two meeting room calendars
  • Manages executive’s calendar and schedule/coordinate daily meetings and appointments, assists in managing the executive’s timely arrival to meetings
  • Arranges travel plans and itineraries and compiles documents for travel-related meetings
  • Answers and screens a high volume of phone calls and email, taking action when appropriate and following up
  • Prepares agendas, notices, minutes, and resolutions for meetings
  • Composes and prepares confidential correspondence, reports, presentations and other documents
  • Creates and maintains databases and spreadsheet files
  • Performs additional administrative duties such as filing, typing, and copying documents
  • Greets scheduled visitors and conducts to appropriate area or person
  • Maintains inventory and orders supplies and business cards for the department
  • Tracks on-boarding and off-boarding and updates floor plans accordingly
  • Acts as the backup support to Coordinators within the department


  • Bachelor’s Degree
  • Minimum 5 years related experience
  • Proficiency with Word, Excel, PowerPoint and internet software
  • Excellent written and verbal skills in French and English
  • Organized and detail oriented with the ability to manage multiple high priorities
