Responsibilities
- Develops and/or maintains databases, distribution lists, mailing lists and filing systems
- Prepares and tracks expense reports and purchasing requests for supplies
- Manages two meeting room calendars
- Manages executive’s calendar and schedule/coordinate daily meetings and appointments, assists in managing the executive’s timely arrival to meetings
- Arranges travel plans and itineraries and compiles documents for travel-related meetings
- Answers and screens a high volume of phone calls and email, taking action when appropriate and following up
- Prepares agendas, notices, minutes, and resolutions for meetings
- Composes and prepares confidential correspondence, reports, presentations and other documents
- Creates and maintains databases and spreadsheet files
- Performs additional administrative duties such as filing, typing, and copying documents
- Greets scheduled visitors and conducts to appropriate area or person
- Maintains inventory and orders supplies and business cards for the department
- Tracks on-boarding and off-boarding and updates floor plans accordingly
- Acts as the backup support to Coordinators within the department
Requirements
- Bachelor’s Degree
- Minimum 5 years related experience
- Proficiency with Word, Excel, PowerPoint and internet software
- Excellent written and verbal skills in French and English
- Organized and detail oriented with the ability to manage multiple high priorities
